Practice Policies

Renaissance of Mind is a private-pay outpatient psychiatric practice and does not accept insurance payments. The policies below are intended to promote clarity, respect, and a shared understanding of how care is provided.

Full policy details are reviewed and acknowledged as part of the intake process through secure patient forms.

Private-Pay Practice

Renaissance of Mind is a private-pay practice and does not submit claims to insurance plans.

This practice does not provide superbills or insurance billing documentation.

Patients are responsible for payment in full and for determining whether their plan offers any out-of-network benefits.

Medicare Non-Participation

Renaissance of Mind does not participate in the Medicare program.

Federal regulations require that services provided to current or future Medicare beneficiaries be delivered under a signed Medicare Private Contract. Patients who are eligible for Medicare, or who become eligible during care, are therefore required to enter into such a contract prior to receiving services.

Services are not billable to Medicare and neither the physician nor the patient may submit claims for reimbursement to Medicare. This requirement is reviewed and acknowledged as part of the intake process.

This practice has formally opted out of the Medicare program in accordance with federal regulations.

Fees and Payment

Fees are based on the type and length of services provided. A current fee schedule is available on the website and reviewed prior to scheduling an initial evaluation.

Payment is due at or prior to the time services are provided, unless otherwise agreed in writing.

Administrative services such as forms, letters, or record requests may incur fees based on time required.

Fees are subject to periodic review and may change with advance notice.

Outstanding balances may result in suspension of non-urgent services.

No Surprises Act (Good Faith Estimate)

Patients who are uninsured or not using insurance have the right to receive a Good Faith Estimate of expected charges in accordance with federal law. Details are provided during the intake process.

Cancellation and Missed Appointments

Appointments are reserved specifically for each patient.

Appointments cancelled with less than 48 hours’ notice, or missed without notice, are subject to the full session fee, including initial evaluations. This fee reflects reserved professional time and does not represent clinical services. Notice must be received via the secure portal or by phone during business hours.

Outpatient, Non-Urgent Care

Renaissance of Mind provides outpatient psychiatric care only.

When the clinician is unavailable due to planned absence, patients are encouraged to plan medication needs in advance. This practice does not provide cross-coverage or on-call services.

This practice does not offer emergency, on-call, or crisis services. If urgent or emergency psychiatric care is needed, patients should contact emergency services or visit the nearest emergency department.

Patients agree to identify an appropriate local emergency resource or primary care provider for urgent medical needs.

Crisis and emergency resources are available on the Crisis & Emergency Resources page and within the secure patient portal.

Telepsychiatry

Services are provided primarily via secure telemedicine for patients located in California. Patients must be physically located in California at the time of telehealth visits.

Telepsychiatry is used for non-urgent outpatient care and may not be appropriate for all situations.

Details regarding telehealth risks, benefits, and consent are reviewed as part of the intake process.

Scope of Practice

This practice focuses on individualized psychiatric evaluation and treatment. Some needs are best supported in other settings or levels of care.

This practice reserves the right to discontinue treatment when clinical needs exceed the scope of outpatient care, when treatment recommendations are declined, or when administrative policies are repeatedly not followed.

Communication Policy

Secure portal messaging is the primary method for clinical communication. Other communication methods may be used selectively for time sensitive or administrative matters, or when portal messages have not been acknowledged, at the clinician’s discretion and in accordance with privacy regulations.

Portal messages are reviewed during regular business hours and are not monitored continuously.

Clinical matters should not be communicated via social media or unsecured messaging platforms.

Medication Refills

Medication management is provided as part of ongoing outpatient care and requires appropriate follow-up visits.

Refill requests should be submitted through the secure patient portal. Requests made through pharmacies may result in delays.

Patients are responsible for monitoring their medication supply and requesting refills in advance of running out. Refill requests are processed during regular business hours and are not considered urgent or emergency services.

Controlled medications may require scheduled follow-up appointments prior to renewal and are prescribed in accordance with state and federal regulations.

Refills may be withheld if follow-up care is overdue or if clinical reassessment is required. Early refills of controlled substances are not provided.

Privacy and Confidentiality

Protecting patient privacy is a priority. Health information is handled in accordance with applicable federal and state laws.
